Tender for Operated Backhoe Loader Combinations
for the City of Greater Sudbury

The City of Greater Sudbury (the “City”) wishes to procure for three (3) operated backhoe loader combinations c/w hoe ram vibrator tamper plate and snow bucket for planned work and for after hours work,  to be provided for the City Water/Wastewater section.  The Goods and/or Services shall, in all respects, be in compliance with the Specifications attached or linked electronically to this Bid Solicitation.

Tender documents may be downloaded free of charge from the City’s website www.greatersudbury.ca/tenders/ or may be picked up at the City of Greater Sudbury, Purchasing Section, 2nd floor, Tom Davies Square, 200 Brady Street, Sudbury, for a non-refundable fee of $11.30 ($10.00 plus HST).

This Bid Solicitation is subject to a Pre-Qualification process identified under Schedule 3 Pre-Qualification. All forms provided in Schedule 3 - Pre-Qualification must be completed and submitted by the date listed below or the Contractor may be disqualified from Bidding.

Please complete your Pre-Qualification information and submit to the Purchasing Section, 2nd Floor, Tom Davies Square, 200 Brady Street, Sudbury NO LATER THAN 4:00 p.m. (our time) on Friday January 13th, 2017 using one of the following methods:

1) via fax to 705-671-8118, attention Dave Barrett, Purchasing Co-Ordinator

2) via email to tenders@greatersudbury.ca

Note: if using either method of the above, please call to confirm our receipt of your documents at least ONE HOUR PRIOR to closing date and time to 705-674-4455, ext. 2497 or 2501.

3) In person or via courier in a sealed envelope using the address label sheet provided to the City of Greater Sudbury, Purchasing Section, 200 Brady Street, 2nd Floor, Sudbury, ON P3A 5P3.

Bidders will be notified by the City if they have been pre-qualified.

Only those Bidders pre-qualified by the City may submit a Bid.

Bids shall be submitted to the Purchasing Section, 2nd Floor, Tom Davies Square, 200 Brady Street, Sudbury NO LATER THAN 1:30 p.m. (our time) Thursday January 26th, 2017.

Bids should be submitted in a sealed envelope or package using the completed addressed label sheet provided. Bids will be opened at the tender opening meeting, the same day and at the same address at 2:30 p.m., on the 2nd Floor in committee room C-21.  Results will be posted to the City’s tender Web Page http://www.greatersudbury.ca/business/tenders-purchasing/tenders/. within three business days of the opening.

No information meeting shall be held for this Bid Solicitation.

The official point of contact for this Bid Solicitation is Dave Barrett, Purchasing Coordinator (705) 674-4455 Ext. 4255 and all communications with the City during the procurement process shall be through the official point of contact.  Bidders shall not contact any other persons including Members of Council, City employees or consultants retained by the City regarding this Tender.

All communications with the official point of contact MUST BE in writing.  Verbal communications will not be binding on the City.  Bidders shall review the Bid Solicitation and shall promptly report and request clarification of any discrepancy, deficiency, ambiguity, error, inconsistency or omission contained therein.

To facilitate comprehensive responses, Bidders are encouraged to email their questions or clarification requests as soon as possible and no later than 12:00 p.m. (noon) Thursday January 19th, 2017 to tenders@greatersudbury.ca or by fax to (705) 671-8118.  Nothing herein shall obligate the City to respond to any question or clarification request.
